Hand a review complaint to the right person privately

A public review may need a short response and a more detailed private follow-up. Those are different tasks. Use this guide to assign the underlying enquiry to a responsible person without publishing personal information or treating an invitation to contact the business as a completed resolution.

Separate public wording from internal work

Create a distinct record for the follow-up needed behind the review. The public draft should not carry the full investigation notes. A fictional customer might mention difficulty reaching the office; the internal task can ask the team to check the contact history while the public reply offers the approved way to continue the conversation. Do not claim those checks are complete before they happen. Human approval remains necessary for the public response, independently of whoever is assigned the private task.

Assign an owner who can act

Choose the role able to investigate the issue or coordinate the next step, and provide cover for absence. Copying several managers into an alert does not establish ownership. Record the question raised, relevant context and what the owner needs to do next. If another department must help, keep one person accountable for coordinating the response. A handover is complete when the receiving owner accepts it through the agreed process, not merely when someone forwards a message and removes it from their own list.

Use an approved contact and identification process

A public profile name may not establish which business record belongs to the reviewer. Do not guess a customer match or contact someone based only on a similar name. Follow the business-approved process for continuing the conversation and establishing the relevant details. An invitation to use the existing contact channel can be appropriate when further information is needed. Avoid asking the reviewer to post account numbers, addresses or other personal details publicly. Keep the information request proportionate to the issue the owner is trying to understand.

Preserve facts and unanswered questions

The private task should distinguish the review statement, confirmed business information and matters still under investigation. Keep unnecessary personal details out of broad notifications. Use the authorised case location for supporting records. A draft summary should not turn an allegation into a verified finding or invent a remedy. If the owner needs another person to make a decision, record that dependency clearly. The next person should be able to understand what is known and what remains open without treating an AI summary as the source of truth.

Track attempts separately from outcomes

Record contact attempted, conversation established, information pending and resolved as different states. A voicemail left or email sent may be a legitimate step but does not establish that the customer received an answer. Keep promised follow-up dates grounded in an approved staffing process. If the customer responds through another channel, link it to the existing task where the business process allows. Do not mark the case resolved automatically after posting a public reply or after a fixed period without checking the actual outcome.

Close the case with a clear record

When the authorised owner completes the follow-up, record the action and any remaining limit. Keep withdrawn, unable to contact and resolved distinguishable. Decide separately whether any public update is appropriate and have a human approve its exact wording. Do not publish private discussion details as proof that the business acted. Review repeated handover failures and unclear ownership after launch. The process should help the team handle the issue consistently, without promising that private follow-up will change or remove the review.
